A workflow connects multiple actions across your software: information is received, processed, transmitted, and tracked without manual re-entry. You define the rules; the automation applies them and notifies you whenever something falls outside the defined parameters.
How information flows
Let’s take a common case: a quote request. Here is what a workflow can handle, and where human oversight remains essential.
- 1Requestform, email, or WhatsApp
- 2Quote preparationdocument generated from your templates
- ✓Validationreview and approval by a designated person
- 3Sendingto the client, with a copy in the CRM
- 4Follow-upreminder if no response after 5 days
Three project levels
The best starting point is almost always the simplest. We then expand once the first workflow is operational.
Simple Project
One trigger, one or two actions, and a single destination tool.
Example: a website form creates a row in your spreadsheet and sends an acknowledgment of receipt.
Ideal for testing the approach for a specific need.
Multi-tool Project
Multiple connected applications, conditional logic, and a validation step.
Operational example: an e-commerce order updates inventory, generates the invoice, notifies logistics, and registers the customer in the CRM.
Ideal for eliminating redundant data entry between departments.
Advanced Project
Document processing, complex business rules, and the use of an AI model for reading or classification.
Operational example: supplier invoices received by email are read, checked, validated by a person, and then exported to accounting.
Custom project following a feasibility study.
Your tools, exactly as they are
Automation platforms feature ready-to-use connectors for most common tools: messaging, calendars, spreadsheets, CRM, invoicing, e-commerce, and file storage. When a connector is available, implementation is fast.
When one does not exist, we examine the software’s connection interface (API) before providing the quote. Three scenarios may arise: the API is open and documented, and we use it; it is limited, and we inform you of what is possible; it does not exist, and we propose an alternative — periodic export, assisted entry, or a change of tool if you prefer.
We do not invent non-existent connections, and we do not promise an integration before verifying it.
From diagnosis to commissioning
Upon request, following a review of your process
What is included in the fixed price: scoping, workflow construction, testing, documentation, and onboarding. Ongoing support is offered separately.
Factors affecting the budget: the number of tools to be integrated, the availability of connectors, the complexity of the rules, the volume of data processed, and the number of validation points.
Not included unless specified in the quote: platform and third-party tool licenses, hosting, AI model costs, and the development of an API if not provided by a vendor.
Frequently asked questions about workflows
This depends on the number of tools and the availability of connectors. A simple project can be implemented within a few business days following the scoping phase; a multi-tool project requires more extensive testing. The timeline is specified in the quote once the scope has been defined.
The workflow detects the failure, stops cleanly, and alerts you. Nothing is lost: pending executions are replayed once the tool is restored. A change of tool requires adaptation, which is either included in the support or quoted separately.
Simple rules—thresholds, recipients, text—are designed to be editable by your teams after the initial onboarding. Structural modifications are handled by us or by a trained person within your organization.
It applies the rules you have established. For any action that commits the company, we recommend human validation, which we implement by default. You can streamline this later, once confidence is established.
